Overview

RAVEN is seeking a talented and dynamic individual to join our National team to support our IT infrastructure. Under the direction of the Operations Manager, the Systems & Technology Specialist will work across the organization to build and maintain our information systems, alongside providing general IT support to staff members.

Working closely with the Operations team, the S&T Specialist will be the primary point of contact for IT issues & software implementation within our organization. The S&T Specialist will work alongside our dedicated Salesforce & General IT Contractors to support database management & integration projects within our other systems. Our ideal candidate is an IT generalist with extensive Salesforce experience who can coordinate intake requests, implement fixes and updates, and determine when to escalate cases and complex projects to external contractors and higher management. The S&T Specialist will be a proactive communicator with an inter-dependent working style, alongside experience working in small teams or other charities/NGO’s.

Ideally, this is a hybrid IN OFFICE position; preference will be given to candidates who reside in Victoria, B.C.

Key Functional Responsibilities

1. Systems Maintenance & Implementation

  • Database Architecture Execution: In collaboration with Salesforce Contractors and the Operations Manager, translate provided data models into functional structures, including the creation of custom objects, complex field mapping, and relational data linking. Experience with Salesforce in an admin or developer role is mandatory for this role.
  • Workflow Automation: Build and maintain simple automated logic (triggers, flows, and sequences) to streamline internal processes and eliminate manual data entry. Maintain and improve existing automation.
  • Integration Management: Serve as the primary “bridge monitor” between platforms, ensuring seamless data flow through APIs, webhooks, and third-party connectors, escalating integration issues to the Operations Manager, wider team, & contractors as needed.

2. Digital Infrastructure & Website Stewardship

  • Web Environment Maintenance: Oversee the backend health of our web presence, including theme stability, plugin functionality, and core platform updates. Work with the Communications Director to make website updates to aesthetics, pages, themes, and fonts as per their direction.
  • Platform Configuration: Execute small “hands-on” technical tasks such as domain verification, SSL certificate management, and DNS record updates.
  • Technical SEO & Accessibility: Ensure the digital environment is structurally sound, fast-loading, and compliant with accessibility and marketing consent standards.

3. Security, Governance & Crisis Management

  • Incident Response: Act as the first line of defense during IT security breaches or system outages, following established protocols to isolate issues and restore functionality.
  • Access Control & Identity Management: Under the direction of the Operations Manager, administer user permissions and multi-factor authentication (MFA) to ensure staff have the “least-privilege” access necessary for their roles.
  • Data Hygiene & Auditing: Conduct regular audits of system health and data accuracy to prevent “database decay” and ensure reporting reliability. Suggest and implement data remediation and consolidation projects.

4. Operational IT & Fleet Management

  • Hardware Lifecycle Management: Manage the full cycle of company equipment, from initial provisioning and MDM (Mobile Device Management) enrollment to secure wiping and decommissioning of devices. Support the operations team comprehensively in onboarding and offboarding IT best practices.
  • Software Ecosystem Oversight: Centrally manage software licenses, HR information system integrations, and organizational accounts to ensure no lapse in service.
  • Technical Troubleshooting: Provide direct, tier-1 support for staff, resolving hardware glitches, connectivity issues, and software roadblocks with a solution-oriented approach.

5. Vendor & Project Coordination

  • Technical Liaison: Act as the internal point of contact for external technical contractors, ensuring their deliverables meet our specific build standards and timelines.
  • Documentation & Knowledge Transfer: Maintain clear, concise “how-to” documentation for all internal builds and configurations to ensure organizational continuity. Regular creation of materials for staff onboarding.
  • Support creation of policies & procedures: In line with Best IT practices, provide insight & ideas to support the development of internal policies related to our digital infrastructure, accounting for emerging technologies and opportunities.
